China Product Inspection Checklist for Importers

A product inspection is most useful when the buyer defines what should be checked before the inspector arrives. ??heck the quality??is not an inspection standard. A practical checklist connects the purchase specification, approved sample, defect rules, packaging requirements and shipment decision.

Prepare the reference documents

Give the inspection team the latest approved information, not a mixture of old quotations and chat messages. The inspection file should include the purchase order, product specification, approved artwork, packaging layout, approved sample references, quantity by variant and any required test method.

Confirm the inspection stage

Different stages answer different questions. A pre-production check reviews materials and readiness. During-production inspection can identify process problems before the order is complete. A pre-shipment inspection reviews selected finished and packed goods. Container loading checks focus on quantity, cartons, condition and loading records. Choose the stage based on product risk and production status.

Define sampling and defect categories

Sampling inspection does not mean every unit is checked. Agree on the lot size, sampling method and acceptance criteria. Define critical, major and minor defects for the specific product. A cosmetic mark may be minor on an industrial component but major on a premium retail product. A safety or regulatory issue may be critical.

Product identity and quantity

• Supplier, purchase order and product model match
• Finished quantity and packed quantity are recorded
• Color, size and variant breakdown matches the order
• Product, retail package and carton identifiers agree

Workmanship and appearance

• Surface finish, color and assembly match the approved reference
• No unacceptable scratches, stains, sharp edges, gaps or deformation
• Seams, printing, coating, fastening and moving parts are consistent
• Logo position, size, color and orientation are correct

Dimensions, materials and weight

Specify measurement points and tolerances. Record the instruments used where relevant. If material identity cannot be confirmed visually, define what supporting document or laboratory test is required. Do not treat a supplier statement as an inspection measurement.

Function and safety checks

Create product-specific functional tests with a clear method and expected result. Examples include assembly, load, leakage, charging, controls, fit, adhesion or repeated operation. Note the test duration and sample quantity. Inspection observations are not a substitute for certification or laboratory testing where those are required.

Labeling and packaging

• Barcode and printed text are readable and match approved files
• Required warnings, instructions and country-of-origin marks are present
• Accessories, manuals and inserts are included
• Retail packaging protects the product and closes correctly
• Master-carton quantity, dimensions, weight and marks are recorded
• Cartons show no unacceptable moisture, crushing or contamination

Document findings for the buyer's decision

The report should separate facts, photographs and measurements from conclusions. List defects by category, identify affected samples and show the relevant requirement. If production is incomplete or goods are not ready, record that limitation. The buyer??ot the inspector??etains the commercial decision to accept, correct, reinspect, negotiate or stop shipment.
