Searching for a manufacturer in China is easy. Comparing manufacturers on the same commercial and quality basis is the difficult part. A buyer may receive several quotations that appear similar while the factories are pricing different materials, dimensions, packaging, testing assumptions or production routes.
This checklist helps e-commerce brands, importers and distributors prepare a more useful China factory comparison before samples, deposits or bulk production.
1. Define the product before asking for a price
A factory cannot prepare a reliable quotation from a product name alone. Start with a product image or link, but add the specifications that affect manufacturing.
- Product dimensions, materials and construction
- Required function or performance
- Color, finish and acceptable alternatives
- Estimated order quantity and future volume
- Destination country and sales channel
- Logo, labels, packaging and carton requirements
- Documents, testing or inspection expectations
For example, a wet wipes manufacturer needs the substrate, sheet size, liquid direction, pack count and closure. A custom clothing manufacturer needs fabric, construction, measurements, grading and decoration information. The same factory-search process cannot use the same technical brief for both products.
2. Identify the correct manufacturing route
“Manufacturer” can describe several different commercial routes. Clarify which route the quotation represents:
- Existing product: a standard factory model with limited changes.
- Private label: an existing or lightly modified product with your brand and packaging.
- OEM modification: changes to material, dimensions, components, color or function.
- Full custom development: new design, tooling, pattern, formula or construction.
A very low MOQ may apply only to stock products. It may not apply after custom colors, printed packaging, special materials or new tooling are added.
3. Confirm that the supplier controls the relevant production
A trading company is not automatically unsuitable, and a factory is not automatically capable. The important question is who controls the production steps that matter to the product.
Ask where the product is made, which processes are completed in-house, what is subcontracted, who owns the tooling, how materials are controlled and which production records can be provided. For custom packaging, print, lamination, die cutting and finishing may involve different facilities. For private-label beauty tools, fibers, molded components, assembly and packaging may come from separate production partners.
4. Compare MOQ as a structure, not one number
MOQ can be controlled by the finished product, raw material, color, component, printed packaging or production setup. Request a breakdown:
- MOQ per model, size and color
- MOQ for custom materials or components
- MOQ for printed bags, boxes, labels or cartons
- Sample and setup costs
- Whether excess packaging or components remain after production
This is especially important for diaper size ranges, apparel colorways, pet-product hardware and custom printed packaging.
5. Normalize every quotation
Do not compare unit prices until each supplier is quoting the same scope. Record the quotation currency and trade term, product specification, packaging, quantity, tooling, sample cost, lead time, payment terms and quotation validity.
A lower unit price may exclude packaging, testing, tooling, labels or quality requirements included by another supplier. It may also use a lighter material, smaller dimension or different construction.
6. Use samples to answer defined questions
A sample should not be approved only because it looks acceptable. Prepare a short sample-review checklist based on the product:
- Dimensions, weight and construction
- Material, color, odor and surface finish
- Assembly, stitching, hardware or closure
- Function and performance questions
- Logo, print, labels and packaging fit
- Differences from the approved specification
For baby diapers and adult incontinence products, construction, sizing and performance direction matter. For pet accessories, sizing, stitching and hardware may be critical. For garden tools, material, coating and mechanical function may be more important.
7. Review documents against the product and destination
A certificate shown on a supplier profile may cover a different company, facility, product, model or date. Ask what the document covers and whether the evidence is relevant to the product being quoted.
Requirements vary by destination and product classification. Battery products, electrical products, children’s products, skin-contact products, food-contact products and products carrying specific performance claims may require different evidence. Professional compliance advice or independent testing may still be necessary.
8. Build quality control before production finishes
Inspection should be based on the approved specification and sample. Define what can be checked during production and what should be checked before shipment.
- Quantity and product identity
- Dimensions, materials and workmanship
- Function or agreed performance checks
- Logo, labels, barcodes and packaging
- Defect categories and sampling scope
- Photo, video or written evidence required
For bulky home organization products, carton dimensions, nesting and pack-out can materially affect landed cost, so packaging verification belongs in the quality plan.
9. Check the complete landed-cost scenario
Factory price is only one part of the decision. Review product and packaging cost, tooling, testing, inspection, domestic transport, export handling, freight, duties, taxes, warehousing and channel-specific preparation.
A supplier with a slightly higher unit price may produce a more efficient carton, support a better MOQ structure or reduce quality and communication risk.
10. Keep buyer approval at every commitment point
The buyer should approve the specification, selected supplier, sample, packaging artwork, commercial terms, production start, inspection response and shipping plan. AI can organize information, but it should not silently approve deposits, production or shipment.
